Picking App

Warehouse pickers count the items of each order on their phone, from a pick list or by scanning the order's barcode, and the picking status updates in LionWheel.

Updated

On this page

The picking app is for warehouse staff. A picker signs in from their phone’s browser, opens an order, sees every item with its photo and bin, counts the units they picked, and saves. The delivery’s picking status updates in LionWheel from the count.

There are two ways to work, and you choose between them in the organization settings:

  • Pick lists: each picker sees the orders assigned to them and picks them from the list.
  • Order by order: the picker takes an order, scans the barcode on its label, the order moves to them, and they pick it and scan the next one.

Note: The picking app is part of the Picking module. If the module isn’t on in your account, contact support to turn it on. For picking statuses and picking from LionWheel itself, see the picking guide.

Set up a picker

  1. In the menu, go to Settings => Pickers and click New picker.
  2. Enter the picker’s name and phone number, make sure Active is checked, and click Save.
  3. To give the picker access to the app, click Invite to the app in the App access column of the pickers list, or open the App access tab on the picker’s page.
  4. Check the username and language, and click Invite to the app.

The picker gets an SMS with a link to set their password. The link stays valid for a few days, so they can open it the next day too. Once they set it, they can sign in to the app with their username.

In the pickers list, the App access column shows whether the picker is active, invited or blocked, and when they last signed in.

Note: A phone number in the picker’s details is needed to invite them. An inactive picker can’t sign in to the app. To block a picker’s access, click their name in the pickers list, uncheck Active, and save.

Sign in with a QR code

To sign a picker in without typing a username and password, click Connect in the pickers list or in the picker’s App access tab. A QR code appears. The picker points their phone’s camera at it, and the app opens signed in.

The code works once and is valid for 15 minutes. After it’s used or expires, click Connect again for a new one.

Note: The QR code is a live sign-in link. Don’t share it or take a picture of it.

View the app as the picker

The picker’s App access tab shows their username, last sign-in and language, and the side of the page has Login as picker. It opens the picking app in support mode, exactly as the picker sees it, for example to check what shows up for them. Counts you save in this mode are saved as theirs. To leave, click Back to organization in the bar at the top.

Choose how pickers work

  1. In the menu, go to Settings => General, and in the Picking app tab choose Picking: Pick lists or Order by order.
  2. Click Save.

The setting applies to every picker in the organization. The Picking app tab shows only when the Picking module is on.

The tab also has Ask for the number of packages when a list is finished. When it’s on, a picker who saves a fully picked order is asked how many packages they packed it in, and the number is saved as the delivery’s packages quantity. The setting shows only when packages quantity is on in the delivery settings.

Photos and bins from the Products catalog

Each line in the app shows the name, variant and SKU from the order. What the order doesn’t have is taken from the product with the same SKU in your Products catalog: the photo, the bin location, the variant and the notes. Fill in a photo and a bin location for each product, so pickers recognize the item and know where to look for it.

  1. In the menu, go to Settings => Products.
  2. Click the edit button in the product’s row.
  3. Fill in Bin location, for example A-12-03, and choose a file in Image.
  4. Click Save.

Assign deliveries to a picker

In Pick lists mode a picker sees only the deliveries assigned to them. In Order by order mode an order is assigned to the picker who scans it, so you can skip this step.

To assign one delivery, open the delivery page, click Edit, choose the picker in Picker, and click Update.

To assign several deliveries at once:

  1. On the Deliveries page, select the deliveries the picker should pick and click Edit.
  2. Click More options, and in Picker assignment choose the picker.
  3. Click Update.

To take them back, choose Remove picker in the same field. To see which picker each delivery is assigned to, add the Picker column to the deliveries table. The picker is also shown on the delivery page.

Sign in to the app

The picker opens the LionWheel sign-in page in their phone’s browser and signs in with their username and password, or scans the QR code they were given. The picking app opens right away, with the organization’s name and the picker’s name at the top. When they’re done, they tap Log out.

Pick from pick lists

Pick lists

Phone screenshot: Pick lists in the picking app

The main screen has two tabs:

  • To pick: deliveries that aren’t fully picked yet, with picking status New, Pending or Partially Picked. Deliveries that were completed, canceled or failed don’t show here.
  • Picked: the latest 50 picked deliveries, latest first.

Deliveries are grouped by date. Each card shows the delivery number (or the order number, when there is one), the picking status, the route, its start time and the driver, how many units were picked out of the total, and how many lines the order has. A card with a count that isn’t saved yet is marked Not saved.

At the top of the screen, filter by route and by driver, for example to pick the deliveries of the first route out before the others. The list refreshes by itself every minute.

Pick an order

  1. Tap a card to open the order. The top of the screen shows the route, the driver, the delivery number, the order number, the picking status, the number of packages, and the delivery notes. Below them are the contact and a call button for each of their phone numbers, in case there’s a question about the order while picking.
  2. Each line shows the item’s photo, name, variant, SKU and bin. Pick the item and set the count with the plus and minus buttons. A line turns green when all its units are picked, and yellow when only some are. The bar above the lines shows how many units of the whole order are picked.
  3. Tap the save button at the bottom of the screen. It shows the status the delivery will get: Save as Picked when every unit is picked, or Save as Partially Picked when units are missing.

Tap a line’s photo to enlarge it to full screen. Pinch or double tap to zoom in, and drag a zoomed photo.

If Ask for the number of packages when a list is finished is on, saving a fully picked order opens a window to enter the number of packages. After saving, the delivery’s picking status updates in LionWheel. A picked delivery moves to the Picked tab and can’t be changed from the app. Changes to it are made in LionWheel.

Lines that were already fully picked when the order was opened are grouped at the bottom, under Picked with the number of lines. Tap the heading to open them.

Note: The count is kept on the phone until you save, so it isn’t lost if the screen locks or the page reloads. Every line whose count changed is marked Not saved, and the message “Counts on this phone are not saved yet” shows above the save button. Until you save, the count doesn’t update LionWheel.

Pick order by order

In Order by order mode the app opens on the camera, with no list to choose from. The picker takes an order, scans the barcode on its label, picks it, and scans the next one.

Scan the order

  1. Point the camera at the barcode on the order’s label. There’s nothing to tap: when the barcode is read, the order opens right away, and the top of the screen shows Scanned with the code that was read.
  2. Pick as you would from a list: set each line’s count with the plus and minus buttons and tap the save button.
  3. If Ask for the number of packages when a list is finished is on, enter the number of packages and tap Approve.
  4. After saving, a summary shows Order picked (or the saved status, when units are missing), the units picked out of the total, and the packages. Tap Scan the next order to go back to the camera.

Under the camera, the app shows how many orders the picker picked today and the last three of them. Tap one to view it. To go back from an open order to the camera, tap Scan at the top of the screen.

What you can scan

The order opens by any of these codes, within the picker’s organization:

  • The barcode on the delivery’s label, which is the delivery ID.
  • A barcode of the order itself.
  • The order ID from the store.
  • A partner’s task ID.

If several orders match the same code, the newest one that isn’t picked yet opens.

When the camera can’t read the label

  • Tap Type the barcode, type the barcode, the delivery ID or the order ID, and tap Open the order.
  • Pair a handheld scanner with the phone (for example a Bluetooth scanner). It reads the barcode without tapping anything in the app.
  • If the app says it can’t use the camera, allow it in the browser settings and tap Open the camera again.

If the scanned code matches no order, the message “No order has this barcode” shows together with the code that was read. That makes it easy to see when a product’s barcode was scanned instead of the order’s label. Tap Scan again or Type the barcode.

An order assigned to another picker, or already picked

  • An order that isn’t picked yet moves to the picker who scanned it, even if it was assigned to another picker, and the app shows who it was moved from.
  • A picked or closed order opens read-only, with the message “This list is picked. Changes to it are made in the back office.” Its history and the picker who picked it stay.
  • An order with no items to pick doesn’t open, and the message “This order has nothing to pick” shows.

Scan log

Every scan is recorded: the date, the picker, the code, and how the code was read (camera, handheld scanner or typed). Scans that opened no order are kept too, with the reason. On the delivery page, in the Scans section, pickers’ scans show with the action Picker - Pick. They also show in the scans report, next to the drivers’ and the warehouse’s scans.
